1. Information we collect
You give us: name, business name, email, phone, service address, property details (square footage, rooms, floor types, access instructions), scheduling preferences, and anything you write in a message or quote request.
We generate: quotes, invoices, payment records, service logs, checklists, and photographs of the work areas we clean.
Collected automatically on our website: IP address, browser and device type, pages viewed, referring page, and timestamps.
Business contact data: for prospective commercial clients we may collect publicly listed business names, addresses, phone numbers, and general business email addresses from public directories and mapping services in order to introduce our services.
2. How we use it
To prepare quotes and perform services; to schedule and dispatch crews; to document work with photographs and checklists; to invoice and collect payment; to communicate about your account; to respond to inquiries; to improve our services; to comply with legal, tax, and insurance obligations; and — where permitted — to send business-to-business outreach about our services.
3. Legal bases
We process information to perform our contract with you, to comply with legal obligations, with your consent where required, and for our legitimate interests in operating, securing, and marketing our business in a way that does not override your rights.
4. Who we share it with
Crews. We share only what a crew needs to perform the job — service address, access instructions, scope, and schedule. We do not share your pricing with crews.
Service providers. Payment processors, email and scheduling providers, cloud hosting, accounting, and e-signature vendors, each bound to protect the information and use it only for our instructions.
Legal and business transfers. Where required by law, subpoena, or to protect our rights, and in connection with a merger, acquisition, or sale of assets. We do not sell or rent personal information, and we do not share it for cross-context behavioral advertising.
5. Service photographs
Our crews photograph work areas to document completion and condition. Photos are taken of spaces, not people, and are stored with your service record. They are used for quality control, dispute resolution, and your own reporting. We will not use identifiable photographs of your property in marketing without your written permission, and you may ask us to stop photographing specific areas.
6. Cookies and analytics
Our website uses strictly necessary cookies to function and may use analytics cookies to understand traffic. You can block or delete cookies in your browser; strictly necessary cookies cannot be disabled without affecting the site. We honor Global Privacy Control signals where required.
7. Marketing emails
Every marketing email we send identifies Paragon, includes our physical mailing address, and carries a working unsubscribe link. Unsubscribes are honored across all of our campaigns promptly and permanently. Transactional messages about an active account — scheduling, service reports, invoices — are not marketing and continue regardless.
8. Retention
Quote requests that do not convert: 24 months. Client account, service, and photo records: 7 years after the account closes, for tax, insurance, and dispute purposes. Signed contracts: 7 years after expiry. Marketing suppression lists: retained indefinitely so we can keep honoring your opt-out. We delete or anonymize sooner on valid request where no legal obligation requires retention.
9. Security
We use encryption in transit, access controls limiting staff and crews to what they need, vetted vendors, and background checks on personnel entering your property. No system is perfectly secure; if a breach affects your personal information we will notify you as required by law.
10. Your rights
Depending on where you live — including under the Virginia Consumer Data Protection Act, the Maryland Online Data Privacy Act, and comparable laws — you may have the right to access, correct, delete, or obtain a copy of your personal information, to opt out of targeted advertising or sale (we do neither), and to appeal a denied request.
To exercise a right, email support@paragoncleaningexperts.com or write to us at the address below. We respond within 45 days and will not discriminate against you for exercising a right. If we deny a request you may appeal by replying to our decision; if the appeal is denied you may contact your state Attorney General.
11. Children
Our services are directed to businesses and adults. We do not knowingly collect personal information from anyone under 16. If we learn we have, we delete it.
12. Changes and contact
We may update this policy; material changes will be posted here with a new “Last updated” date and, for active clients, communicated by email.
